You resigned, served notice, returned the laptop, and the full and final settlement still hasn't arrived. Phone calls to HR leave no record. A clear email does: it fixes the dates, states the amount, and is the first thing a labour officer will ask to see if it ever comes to that.
The rule your email should quote
Since 21 November 2025, Section 17(2) of the Code on Wages, 2019 says that when an employee resigns (or is removed, dismissed or retrenched), the wages due must be paid within two working days of the last working day. "Our F&F policy is 45 days" is a company habit, not the law.
- Wages here means basic, DA, HRA and other allowances, overtime and the last month's salary.
- Gratuity runs on its own clock: within 30 days of becoming payable.
- Whether leave encashment counts as wages is still argued, so ask for it by name.
- PF is not part of F&F: you withdraw or transfer it through EPFO.

Try it on your numbersGratuity CalculatorEnd-of-service gratuityBefore you send anything
Work out your own number first, so the email states an amount instead of asking for one. Our F&F checker takes your last working day, salary, leave balance and years of service, and gives you the amount and the legal deadline.
Check your F&F amount and deadlineTemplate 1: the first reminder
Send it on the third working day after you leave. Polite, short, and it puts the deadline on record.
Template 2: before you leave, ask for the computation
The easiest dispute is the one you catch a week early. Send this before your last day.
Template 3: the formal reminder
If a week passes with no answer, send this one with your computation attached and your manager and payroll copied.
Template 4: when the F&F amount is wrong
The usual errors are a smaller leave balance, a notice recovery you don't owe, and a missing bonus. List each one with the proof.
If they still don't pay
You can file a claim with your state's labour department under Section 45 of the Code on Wages, 2019, within three years. Keep every email and your relieving letter: the dates in them are your case.

- How many days does a company have to pay full and final settlement?
- For wages, two working days from the last working day, under Section 17(2) of the Code on Wages, 2019, in force since 21 November 2025. Gratuity has 30 days from when it becomes payable. A 45 or 60-day F&F policy does not override the law.
- What should I write in the email to HR for F&F not received?
- Your last working day, the legal deadline that followed from it, the amount you expect and how you worked it out, and a clear date by which you expect payment. Keep it short and factual; the templates above are ready to copy.
- Can I complain if the F&F is still not paid?
- Yes. File a claim with your state labour department under Section 45 of the Code on Wages, 2019, within three years. Your emails and relieving letter are the evidence.
